Event Marketing Coordinator
[Trade Shows & Conferences]

As an Event Marketing Coordinator you will plan, coordinate and implement all aspects of STOTT PILATES trade shows. This includes pre-show planning, freight shipments, on-site logistics, post-show wrap-up and evaluation, and final vendor payment. It also includes coordinating promotional pieces including direct mail, email and web listings including promotions. You will be responsible for itemizing and recording the pre-, onsite and post sales as well as events budget for each trade show. Additional responsibilities include planning and coordinating STOTT PILATES hosted events including venue sourcing and contract negotiations, catering arrangements, room layouts, A/V requirements, exhibit setup, and on-site support. The Event Marketing Coordinator will be required to travel to trade shows/conferences and responsible to be the lead at selected trade shows/conferences.


  • 3-4 years experience coordinating
    trade shows as an exhibitor.

Skills & Qualifications:

  • Degree or Community College Diploma

  • Good working knowledge of Excel, Word, FileMaker, Entourage (or other email system)

  • Responsible and able to work independently

  • Good time management and prioritization skills

  • Very detailed oriented

  • Logical and able to think "outside the box"

  • Exceptional customer services and communication skills (written & verbal)

  • Professional demeanour and clean/tidy appearance at shows

  • Ability to multi-task numerous and simultaneous projects

  • Able to travel and work flexible hours

  • Good leadership skills

  • Able to set up booths/build equipment

  • Enjoys fitness

Major Responsibilities:

  • Enter trade show inventory order for production

  • Communicate with the traffic department regarding shipping and recommendation with respect to site or to advanced warehouse

  • Order electrical, carpet, drayage, labour, etc. required for the show

  • Provide session notes to the host organization

  • Book flights and hotel accommodations

  • Request and distribute per diems

  • Prepare and coordinate the distribution of mass emails

  • Prepare web site updates for the events section and e-newsletter

  • Prepare trade show summary and information binder

  • Prepare demo sign up sheets

  • Prepare summary of pre-sold/available product

  • Prepare pre-con notes and letters of completion

  • Prepare return customs documents

  • Recording of sales after an event

  • Enter ballots after an event

  • Send out trade show thank you letters

  • Collect the post trade show evaluations

  • Organize and re-stock the booths

  • Co-ordinate staff social events

  • Responsible/accountable for the activities on show site when Manager of Events is absent

  • Other related duties that may be assigned from time-to-time
