Administrative Assistant – Education & Programming

Position Overview

This is a entry-level position and a unique career development opportunity with a leader in the fitness industry

This position will assist the Education and Retail Sales Departments as well as the Corporate and Studio Reception desks performing a wide range of day-to-day administrative, receptionist and special project duties. The days and hours of work are Monday to Friday from 9:30am to 6pm.


Key Responsibilities:


CORPORATE TRAINING CENTERS

  • Respond to Corporate Training Center general inquiries via telephone, fax and email regarding STOTT PILATES education programs
  • Assist the Corporate Training Centers Supervisor in the administration of course and workshops at all Corporate Training Centers (includes updating database information on students and instructors, education quotations and orders, processing of applications, course deposits and payments, preparation of course welcome packages, assisting with web updates etc)
  • Assist with answering general questions pertaining to the Continuing Education program. Responding to CEC (Continuing Education Credits) inquiries, emails as needed
  • Answer general Education telephone line from 1:30 to 6pm
  • General filing and other administrative duties/special projects as assigned by Supervisor.


PROGRAMMING

  • Assist Program Director with data entry, proofreading, exam processing, responding to customer service inquiries, and other special projects as assigned.

RETAIL SALES

  • Assist Director of Marketing & Sales, Retail with data entry

CORPORATE RECEPTION – On an as needed basis

  • Back up reception work, assisting with phones and other administrative duties as required.

STUDIO RECEPTION – On an as needed basis

  • Back up reception work, assisting with phone and other administrative duties as required

Required Skills & Qualifications: 

  • 1 to 2 years of customer service/administrative experience
  • Strong interpersonal skills
  • Flexible with a “can do” attitude
  • Effective verbal and written communication skills
  • Ability to multi-task and respond to shifting priorities

  • Time-management, prioritization and organizational skills
  • Strong computer skills in Microsoft Office, particularly Excel and Filemaker Pro
  • Enjoys working on a computer
  • Strong analytical and problem solving skills
  • Attention to detail
